Overview

Most products in the insurance software market keep every agency's data side by side in one database. That is a cheap architecture for the vendor; for the agency it means handing over all control of the client portfolio, policy details and staff records.

SipolCRM was built by inverting that choice. Every installation opens a dedicated Supabase project for the agency; ownership of the database, admin access and the backup policy stay with the agency. A full data export is available at any moment. Authorisation is enforced at the database level rather than in the interface layer — a record a staff member may not see is not reachable from anywhere in the application.

The second design decision was not to impose the panel as a fixed template. Quote stages, policy fields, the staff permission scheme and the reports are all configured to the agency's own workflow during setup.

The package also includes the SEO-friendly corporate website clients see. Quote requests from the site land directly on the panel's kanban board, so there is no gap between the website and daily operations. Pricing is a one-off setup fee — no subscription, no per-user charge.

Highlights

  • A separate Supabase project per agency — no shared data pool
  • Authorisation enforced in the database, not the interface
  • Corporate website and admin panel in one package
  • Quote requests from the site landing straight on the kanban board
  • A one-off setup fee with no subscription or per-user charge

Objectives

  • Keep the agency the owner of its own data
  • Stop policy renewals from slipping through
  • Close the gap between the website and daily operations
  • Adapt the panel to the agency's workflow, not the other way round

Solution

  • An isolated database and Row Level Security schema per installation
  • Staged quote tracking on a drag-and-drop kanban board
  • Full portfolio records with policy no, plate, tax id, premium and due date
  • Policies nearing expiry dropping automatically into a renewal list
  • Staff records, leave requests and letterheaded leave forms
  • Bulk import and export via Excel

Approach

  1. 01Mapping real quote and policy flows in interviews with agencies
  2. 02Designing the per-installation isolation architecture
  3. 03Building the modules and trialling them in the field
  4. 04Combining the corporate site and panel into one package

Outcomes

  • Agency data is no longer pooled with other agencies
  • Automated renewal tracking cut the risk of missed due dates
  • Quote requests flow uninterrupted from the website into operations
  • A pricing model where cost does not grow with user count

Challenges

  • The operational overhead of a new database per installation
  • Quote stages differing widely between agencies
  • Getting permission rules complete at the database level
